Effective records management for your SAP system
Alongside data and documents, electronic records are becoming increasingly important in many areas, including in the SAP environment. DOXiS SAP Edition supports both SAP Records Management and DOXiS Records Management.
Integration with SAP Records Management
Links can be created in SAP records for elements that have been stored in DOXiS Archive. This makes it possible to search DOXiS Archive at record level from within the SAP system. In addition, documents can be scanned in from the record view in SAP and then stored in an audit-proof manner in DOXiS Archive.
Enterprise-wide records management with DOXiS
DOXiS Records Managements extends records management in SAP to enterprise-wide records management. DOXiS records can include both SAP and non-SAP elements and can be linked within SAP. They can be displayed either in DOXiS SAP Viewer or in the DOXiS Client.
Better performance for hosted SAP systems
Organisations that use an SAP system in ASP mode can enjoy much better document viewing performance when they use DOXiS Records Management. Records Management from SER not only offers SAP users dynamic records management that is easy to use, it also gives them much faster access to documents contained in the records. This is because access to records stored at the computer centre and to the documents they contain is limited by the capacity of the data lines. If SAP data are accessed from a record, this is not a problem in view of the relatively small volume of data. However, if scanned documents, e.g. large TIFF documents, are opened from a record via the data line and displayed in the SAP client within the organisation, it can take a long time before the image appears. With Records Management from SER, the documents are archived in the content repository within the organisation. The SAP records in the computer centre contain only a link to the documents. If one of them is opened it can be viewed in just a few seconds in the SAP user interface or in DOXiS SAP Viewer, since it does not have to be transmitted along the data line.
Features of DOXiS Records Management
- In addition to typical records, DOXiS Records Management offers dynamic/virtual records that are created via search queries and can be used in the same way as normal records.
- The search folder technique (content-based index) provides a user-friendly, fully automatic way of adding to an index within a record only those elements that meet a previously defined search criterion.
- Example: Automatic addition to a record of documents marked for the customer, supplier etc. in question in the incoming mail. When the record is next opened, these documents will be available immediately in the relevant search folder.
- DOXiS Records Management supports links to any number of SAP business objects. It is also possible to open SAP transactions directly from DOXiS Records Management.
- In conjunction with DOXiS Workflow, DOXiS Records Management offers comprehensive options for setting up a retention management system – scheduling, resubmissions, retention periods, etc.
