Teamplay: Microsoft and SER
DOXiS has taken this trend on board. With its modules for Microsoft integration it is possible to integrate archive and workflow functions into Microsoft environments easily. They can be started directly from Windows Explorer or from MS Office products or from the SharePoint portal, without needing to leave the application in question.
MS Windows and MS Office integration
Wherever there is no need for a fully functional archive and workflow client like DOXiS evITA, DOXiS SmartArchiver and DOXiS SmartOffice offer the user archiving and workflow functions embedded in Microsoft menu structures. The DOXiS SmartArchiver functions are accessed within Windows Explorer via the context menu (right mouse button). DOXiS SmartOffice integrates the DOXiS functions in the menu structure of MS Office programs. Depending on the configuration and allocated rights, it is possible using the two DOXiS modules to open a selection or all of the following options for archiving in DOXiS Archive and for activating processes and workflows in DOXiS BPM. As well as the direct archiving command, documents can also be selected by means of rules and automatically archived in the background. DOXiS SmartArchiver and DOXiS SmartOffice provide the following DOXiS functions in MS Office:
Archiving and restoring documents:
- Manual archiving
- Automatic archiving using rules
- View and restore archived documents in Windows Explorer
Launch processes with DOXiS BPM:
- A new workflow relating to a selected document is started directly in DOXIS BPM with a link to the document
- Use of document properties for indexing the workflow and for automatic rules-based selection of the appropriate process model
- Simple initiation and automation of administrative processes on the basis of document templates (e.g. travel expenses applications, network applications etc.)
Email archiving for MS Outlook/Exchange
The DOXiS eMail Center provides comprehensive functions for the efficient, legally compliant processing of electronic mail in MS Outlook/Exchange: assign, respond, archive and search functions provide the core elements for comprehensive Information Lifecycle Management of the whole of an organisation’s electronic business correspondence. As well as relieving pressure on the email system immediately, the DOXiS eMail Center ensures that emails are assigned to the appropriate business process context and that the legal requirements in terms of retention are complied with throughout the whole lifecycle (compliance).
DOXiS eMail Manager represents the link between Microsoft Exchange servers and DOXiS Archive. DOXiS eMail Manager provides the following four basic functions:
- Archiving emails
- Restoring previously archived emails
- Searching for emails in the archive
- Deleting previously archived emails on the MS Exchange server

SharePoint Portal Server
SER integrates DOXiS in MS SharePoint as a portal integration using WebParts, which make the DOXiS functions, e.g. archive access or workflow processing, available directly in the SharePoint portal. This gives SharePoint and DOXiS users a shared ‘single point of access’. In addition, special functions – e.g. for email archiving – relieve pressure on the document storage system in SharePoint, whilst guaranteeing audit-proof storage. This takes place fully transparently for the user and is controlled via freely definable rules mechanisms.
Comprehensive availability of DOXiS iECM Suite functions in SharePoint Portal Server makes integrated Enterprise Content Management available to SharePoint users as well. Users benefit from the functions for audit-proof archiving and enterprise-wide searches, use of a cost-effective, highly efficient document storage system and comprehensive workflow functions. By providing a single point of access and optimising the SharePoint system by relieving pressure on it, the DOXiS SharePoint integration makes everyday work easier and more efficient.
DOXiS SharePoint Portal integration is implemented in a project-specific manner. In line with specific customer requirements, SER has, for instance, developed a concept for complete order processing for a furniture dealer that uses SharePoint Portal as its lead system and wants to support its order processing with DOXiS Workflow functions.
Microsoft Dynamics NAV
The DOXiS Navision integration offers both comprehensive archiving support and the integration of inbound document processing with the DOXiS Inbound Center. This makes it possible to achieve integrated Enterprise Content Management with Navision in conjunction with DOXiS as well as other systems. DOXiS itself interacts both with the Navision database and with the Navision Application Server via appropriate standard interfaces. Document archiving in Navision includes both inbound and outbound documents. The DOXiS Navision connector supports all relevant archiving scenarios, i.e. both early and late archiving and parallel archiving. The DOXiS Archiving Service and associated virtual media management transparently integrates storage systems, cache management for performance optimisation, and retention management. Documents are stored and retrieved from within the Navision user interface. Linked documents, workflows and records can be opened directly. Attributes of a Navision object can also be used for a search query in DOXiS – e.g. displaying all of a client’s documents in a hit list. When documents are displayed, the DOXiS Viewer offers a large number of supported display formats and editing options for Navision (highlighting, stamp, annotations, digital signature, etc.). When DOXiS InvoiceMaster is connected to Navision, the values extracted from the inbound documents are immediately reconciled with the available master data from financial accounting as well as with ordering information and goods receipts. The DOXiS Navision connector provides the necessary additional interfaces.
