DOXiS record models
Records management in DOXiS is based on record models. Record models can be freely defined and can also be used to specify the structure of certain types of record. Examples of record models are customer records, personnel records, credit records, etc. A record model specifies what content belongs in a record and how it is to be structured in this context (registers / folders). At the same time, the record model can be used to define authorisations for certain parts of a record (read access, write access, etc.). A very simple example of a record model is the reference file, in which any number of documents can be stored without any further specifications regarding content or structure.
Record models are not mandatory for DOXiS records management, but they do make everyday work much easier and lead to better structuring and standardisation of the overall quality of workflows – especially in cases involving the processing of repetitive business cases. Record models can also be modified at a later date. Once the modified model has been released, it is used to generate/display new and existing records. This means that the structure of a record is not fixed, but can be continually adapted to current requirements.
