Archiving: more than safe storage
DOXiS eMail Center offers a large number of archiving scenarios. Together with the most important information about the business context, emails can be archived in the central content repository immediately after they arrive. In this way all the important information is available to the downstream systems immediately and can be incorporated into the relevant business processes. The user can continue to work as normal with the email and at the same time use the additional context information from the DOXiS iECM Suite.
In the classic working method, in order to relieve pressure on the email server and to ensure uniform storage, emails are sent for audit-proof, long-term archiving straight from the usual email application. Archiving is normally done after processing of the emails is complete. The DOXiS eMail Center allows convenient server-based, automated or manual archiving as well as restoration of unmodified data from the content repository. There is a choice of different storage formats (e.g. TIFF, PDF, RTF).
In order to fulfil the many compliance requirements, business-related inbound or outbound emails can be filtered out and archived in an audit-proof way immediately. Associative search methods and automatic classification of emails offer unique and outstanding possibilities for making use of the contents of the archive. The business context that is absent here can be determined later on using the DOXiS eMail Center and added to the archived email. In this way, not only will the compliance archive become increasingly intelligent, it will also become increasingly easy to find the relevant information. This means that the compliance function can also be used to save storage space directly within email management. There is no need for a separate compliance archive.
